How Much Water for Your Guests?
A planning rule of thumb, based on 500ml bottles. Every event is different — outdoor heat, alcohol service and event length all push the number up — so treat these as your starting point and round up.
| Event type | 50 guests | 100 guests | 200 guests | 500 guests |
|---|---|---|---|---|
| Evening function or cocktail party (2–3 hours)One bottle per guest covers a short function where other drinks are served. | 50 bottles | 100 bottles | 200 bottles | 500 bottles |
| Wedding or full-day celebrationPlan two bottles per guest — one for the ceremony or tables, one for the dance floor. | 100 bottles | 200 bottles | 400 bottles | 1000 bottles |
| Conference or all-day seminarTwo bottles per delegate; add shared 1.5L bottles on boardroom and speaker tables. | 100 bottles | 200 bottles | 400 bottles | 1000 bottles |
| Sports day or outdoor eventThree bottles per person — more in summer heat. Round up, not down. | 150 bottles | 300 bottles | 600 bottles | 1500 bottles |
Larger orders cost less per bottle, and the band applies to your whole line — so if the guide puts you near a band edge (100, 250, 500 or 1,000 bottles), ordering up to it can cost less than ordering fewer.
