How Much Bottled Water Do You Need for a Wedding or Event?

Published by the AquaZen team

Running out of water at your own event is the mistake nobody forgives, and over-ordering ties up budget. Here is how to land on the right number of bottles.

Start with one bottle per guest — then adjust

The baseline for a short, indoor gathering is one 500ml bottle per guest. From there, the real number moves with four factors: duration, weather, activity and what else is being served.

A full-day summer wedding in Gauteng behaves nothing like a two-hour indoor product launch. Guests at a long outdoor event in warm weather can comfortably go through two to three 500ml bottles each; guests at a catered evening function where wine and soft drinks flow may average less than one.

The four factors that move the number

Duration: every additional three to four hours of event roughly adds another bottle per guest. Weather: for outdoor events between October and March, plan for the hot day, not the average day — unopened bottles keep, but a water shortage on the day cannot be fixed. Activity: dancing, sport and standing receptions push consumption up sharply; seated conferences pull it down. Other drinks: plentiful juice, soft drinks and bar service can halve water consumption, but never budget water at zero — it is the one drink every single guest touches.

Our event water guide turns these factors into a worked sizing table by event type and guest count, so you can read your number off directly instead of estimating.

Choosing bottle sizes for an event

The 500ml bottle is the event workhorse: it is a single serving, it fits in one hand and a cooler bucket, and nothing is wasted when a guest wanders off mid-bottle. Larger 1L and 1.5L bottles suit tables at seated dinners, where they are shared and poured into glasses; the 5L size belongs behind the scenes, in the kitchen and for staff.

For weddings and brand events, personalised labels turn the water itself into decor — your names, date or logo on every bottle on every table. Personalised bottles carry a higher minimum quantity because each design is its own production run, so they suit exactly the guest counts where you need volume anyway.

A worked example

Take a 120-guest wedding: an afternoon ceremony, photos in the garden, dinner and dancing until late. Two bottles per guest for the day plus a reserve for the vendor team and the morning after puts the order around 250 to 300 bottles of 500ml — which also happens to land in a cheaper quantity band than a bare-minimum order, because per-bottle prices drop at 250 bottles.

Delivery is a flat R 99,00 per order however many bottles you add, so consolidating the whole event into one order costs less than topping up twice.

When to order

Lock in your guest count first, then place the water order together with your other bulk consumables. Bottled water stores well in a cool, dark space, so ordering comfortably ahead of the event costs nothing and removes the one supply you cannot improvise on the day. If your event uses personalised labels, allow extra time for the label design to be finalised before production starts.
